The Challenge

WMG’s Rights division manages over 100,000 contracts and related documents, many of which were stored physically or scattered across various digital repositories. This created significant challenges around:

  • Storage inefficiency and the high volume of physical paper documents
  • Slow document retrieval and search capabilities for users

  • Operational disruption during the transition from paper-based to digital workflows

The business set a clear objective: to store all rights contracts and documents electronically, securely, and make them instantly searchable across the global organization.

The Solution:

WMG selected Efalia ECM (FileDirector) to serve as the centralized electronic document management system for its Rights business.

The decision, initiated by the organization’s leadership and endorsed at board level, was based on Efalia ECM’s ability to:

  • Provide a secure, scalable repository for rights contracts and related assets
  • Enable rapid search and retrieval across global teams
  • Support both physical and digital workflows seamlessly
  • Offer Single Sign-On (SSO) and cloud access for a simplified user experience

Digitizing the Workflow

For physical “wet ink” agreements, documents are scanned and indexed into Efalia ECM, including a physical location reference for rare retrieval needs.

For digitally signed agreements, PDFs are sent directly from email to ECM, indexed, and then the email copy is deleted — ensuring a single source of truth and minimizing data duplication.

Implementation and Rollout

Under the guidance of Phil Spender, Director of Global Business Systems, WMG defined a clear project roadmap:

  • Phase 1: Deployment of Efalia ECM in the UK, covering all Rights documents
  • Phase 2: Expansion to EU operations
  • Future phases: Evaluation of rollout to additional international offices

The project’s implementation leveraged the Efalia ECM Web Client (v4+), enabling a smooth transition and minimal technical footprint.

The introduction of Efalia ECM (FileDirector) has delivered tangible improvements across the business:
