Context and Challenges

As the organisation continued its transition to the cloud, it required a reliable and cost-effective solution to capture, identify and process incoming paper-based information while integrating seamlessly with its cloud-based systems. The objective was to evolve existing processes, improve efficiency and ensure incoming correspondence could be routed more quickly and consistently across the Group.

As part of a broader transformation toward a fully cloud-based operating environment, the Group set out to modernise and enhance its existing post room operations to better support its digital-first strategy.

Implementation

AIIC Group selected Efalia ECM Cloud to underpin its enhanced digital post room capability. Working collaboratively with Efalia, the team embarked on a thorough proof-of-concept phase, experimenting with configurations and workflows until the model was refined to suit the Group's multi-brand, multi-location needs. Local production scanners and MFP devices were integrated directly with Efalia ECM, enabling secure processing and distribution to the Group's cloud-based practice management system.

Efalia's team supported the project from the earliest design discussions through to testing and final deployment.

The Group now processes around 1,500 letters per day. Incoming correspondence is captured, classified and routed instantly to the correct team, client or matter, regardless of brand or location, providing significantly improved responsiveness across the business.

The impact has been profound. The enhanced workflow supports the Group's wider commitment to a paperless office, ensures faster client service, and gives staff consistent access to the documents they need.
