MULTIGEST offers several tools for “signing” a document, giving the action several different levels of legal validation.
At the lowest level, where the evidential value of the signature is not required, the MULTIGEST collaborative pack enables initials or an image of the sender’s signature to be added to PDF documents.
At a second level, for use within the organisation, document access procedures associated with the full traceability of actions taken on documents and with the workflow module enable the originator of any action to be traced – the person “signs” the action by logging into the application and validating a workflow step corresponding to their agreement to a document, for example.
The workflow tracking sheet can be compared to its paper equivalent, which documents all the people involved in taking or validating an action. This is especially useful for monitoring quality processes and certifications, which require these tracking sheets to be in place.
Finally, at the highest evidential level, the MULTIGEST collaborative pack enables documents to be signed electronically using electronic certificates. The signature is fully authenticated by the use of an individual PIN code.
=> During the document’s active life, theDocument Management System offers PROCESSES (or workflows)…
Going paperless involves transforming physical information media (generally paper documents) into computer files (bringing the dream of the “paperless office” to life).
A Document Management System solution such as MULTIGEST is designed to manage documents throughout their active lifetime or retention period.
